Employee roles and access

Invite employees to your workshop and choose which features Administrators and Managers can use. Everyone works with their own S-Flow account.

The Owner keeps full access to their workshop. Under Management → Employees → System access, they can invite staff, change roles and revoke access. Administrators and Managers can use only the features enabled for their role by the Owner.

Choose Add employee, enter a name and select a role. Creating an invitation reveals a one-time code and QR code. Share them manually or send the invitation by email. Email is required for email delivery; an email-bound invitation requires the same verified email address on the accepting account.

The employee registers or signs in to an existing account. On Join workshop, they enter the code or scan the QR, review the workshop name and role, then confirm. They do not need the invitation code on subsequent sign-ins.

In Permissions, choose Administrator or Manager and configure access to clients, orders, calendar, messages, inventory, finances and other modules. Settings apply to everyone with that role in this workshop. New permissions are disabled by default.

Employees see only the Dashboard sections available to them, and the server also enforces these restrictions. The workshop owns the subscription, so employees do not purchase a separate plan. Available seats depend on the plan.

Each code can be used once and is shown in full when generated. Copy it using Copy invitation code. The Owner can track invitation status, cancel an invitation and create a replacement when it expires.

Find and select permissions

Search modules and actions, filter enabled or changed permissions, and select one action, a group or all permissions. Sensitive actions carry warnings. Managers cannot manage roles and permissions.

Keep control of unsaved changes

Save changes to apply the selected role settings. Undo changes restores saved settings. Leaving with unsaved edits lets you save, discard or stay in the editor.

Separate access for each workshop

Roles and permissions belong to a specific workshop. Users with multiple workshops select the active workshop in Dashboard. Revoking access never grants access to another workshop’s data.
